When a death of a contributor happens, the criteria that effects the process going forward is whether or not there is a surviving spouse.

If there is a surviving spouse, we will want to set the envelope up so that the surviving spouse keeps all the current offering records and still receives envelopes the next year. If there is no surviving spouse, we will want to make sure that the number does not receive envelopes the next year.

Regardless of which situation there are two things you will want to do prior to starting. You need to make a backup of your database as well as print a contribution statement for this envelope.

Important: We recommend not deleting any records until after the year has ended.

» Surviving Spouse

  1. In Contributions, choose Records in the menu bar and click on Contributors.
  2. Highlight the record you need to change and click Edit.
  3. Uncheck the box that says “This is a Shared Envelope.”
  4. If the Joint Contributor is the surviving spouse, change them to the primary contributor.
  5. Click Yes, making the existing Offerings go to the remaining Contributor.

» No Surviving Spouse

  1. In Contributions, choose Contributors in the menu bar and click on Records.
  2. Highlight the record you need to change and click Edit.
  3. Check the box that says “Skip this envelope when Renumbering.” Click OK.
  4. At this point when you renumber your envelopes this number will be numbered in the 10,000 range so that it can be left out of the envelope labels.
